Wine inventory app: how to keep track of your wine collection

Tracking your wine inventory starts with one question: what exactly is in stock? Once that is right, the rest follows: what it is worth, what to open first and what to buy again. This page shows how to set that up in Wijnfeld so your inventory stays correct after a party or a trip to the merchant.

Step 1: take stock of your wine collection

Start with one rack and work systematically. Enter producer, name, origin and type per wine, and the number of bottles per vintage. The label scanner is faster: take a photo, check the details, add quantity and location, done. If you have a list from your merchant or an old spreadsheet, import it via the CSV template.

Step 2: record purchase price, supplier and date

Per bottle you record what you paid, from whom and when. Your dashboard then shows the total purchase value of your stock. If you also enter an estimated current value per vintage, you see the estimated collection value next to it. Wijnfeld always makes clear whether a value was entered by you, comes from a source or is an estimate.

Step 3: add and write off daily

A wine inventory only stays correct if changes are easy. New purchase? Open the wine, pick the vintage and add the quantity. Opened a bottle? One click on “consumed” or a WhatsApp message to the sommelier: “we drank one bottle of Barolo 2016 yesterday.” Every change is kept in a history so you can always see what happened.

Reserve for a special moment

Some bottles are there for a reason: a birthday, Christmas or a tasting. Reserve them in Wijnfeld. They still count in your inventory, but the sommelier takes the reservation into account and will not suggest them for a weekday evening.

Wishlist and repeat purchases

Tracking inventory also means looking ahead. On your wishlist you keep wines you still want to buy, with target price and priority. Wijnfeld also points out favourites that are almost gone: highly rated in your tasting history but with only one bottle left.

Export and take with you

Export your complete inventory as a CSV file, for example for your insurance or to take elsewhere. Your data is yours and stays that way.
